How Smart Assessor e-portfolio Works
Smart Assessor have created a new unique e-portfolio with integrated web assessment rooms that can reduce the cost of work based learning delivery by 25% whilst giving assessors more time with their learners.
Step 1 - your assessors
We've designed Smart Assessor to make life as smooth as possible for busy assessors. Our e-portfolio comes ready to use with the QCF standards and apprenticeship frameworks, including functional skills, technical certificate and ERR which means that assessors can map evidence from their learners directly to the relevant units and performance criteria for that qualification.
Many e-portfolio's do not have the QCF standards already loaded and some that do have them do not include ranges and guided learning hours so make sure when you are looking at e-portfolio's they have this level of detail already set up for you.
Mapping evidence online instead of with a paper based portfolio means that assessors can keep track of their learner's progress and the portfolio is always up to date. Evidence and portfolios can't get lost and are always accessible.
In addition to reviewing and mapping evidence assessors can see which assessment methods have been used in the portfolio and make sure a good variety are included. They can feedback directly to their learners on the evidence submitted which is instantly available for their learners to action, whenever an assessor gives feedback to their learner in Smart Assessor the system alerts the learner by e-mail to log into their e-portfolio to see the comments.
Assessors can upload documents to the learner portfolio too; these can be reviews, workbooks, Q&A, training notes or other useful documents. Assessors can chose whether to upload the document to a course which then all learners assigned to that course an access or individual documents just for a specific learner.
Assessors have their own unique log in to Smart Assessor which gives them a dashboard of all their learners, showing individual progress and outstanding actions.

Step 2 - your learners
Each of your learners is given their own unique log in and password for Smart Assessor. When they log into their e-portfolio they can see all of the courses they have been assigned by you their training provider, along with the units that they have opted for.
Learners have their own dashboard which shows both overall progress across all courses and frameworks along with individual progress which means that they can see exactly what is left to be achieved.
There is an individual skill scan for learners to help them choose units and identify skill gaps with their assessors along with a timesheet where they can record their course activity both on the job and off the job.
The Smart Assessor e-portfolio eliminates the need for paper portfolio's which means that learners can always access their work, communicate with their assessor, upload evidence and work on their course at any time regardless of whether their e-portfolio is being used by their assessor or verifier.
Employers
There is also a log in for employers to see the progress of their learners which means that you no longer have to prvide your employers with reports, they can log into Smart Assessor and see for themselves dynamic progress data whenever they need it.

Step 3 - your internal verifiers
IV's have their own log into Smart Assessor from which they can create their own sampling plans for batches of learners based on which unit they are choosing to standardise on. The sampling plan displays which units have been chosen by learners in the sampling batch and the assessment methods used, iv's can then chose which units they would like to include in their sampling plan with alerts to let them know if they haven’t selected a full range of units across all learners and assessors.
Once they have created their sampling plan they can then schedule formative and summative sampling sessions and Smart Assessor will add these to their outlook calendar and remind iv's as they become due.
The sampling sessions are added to the learner's iv report which will feedback to the assessor the results of the sample and track outstanding actions left by the iv for the assessor. IV reports drop through to the assessors dashboard and alert the assessor when there are actions left for them from their iv.
Iv's can also countersign inexperienced iv's work for supervision purposes.

Step 4 - Awarding Body external verifiers
As the training provider you can create a read only log into your Smart Assessor e-portfolio for your EV from where they can review your learner's portfolio's, iv reports, reviews and the full audit trail they would expect to find with a paper based system. The advantage of using and electronic portfolio for award body verifiers is that they carry out some of their sampling away from centre and you do not have to bring in learner portfolio's for them everything can just carry on as normal whilst their external verifying takes place.
Awarding bodies are supportive of centres using electronic portfolio's and Smart Assessor is the market leader and has won compliments and endorsements from the awarding bodies, even from those that sell their own e-portfolio solution.

Step 5 - your management team
Smart Assessor provides an instant view of how you are performing as a training provider with at a glance reports of progress which can be displayed by course, assessor, employer, course and individual learner.
There is a full audit trail of compliance reports which can be used for audits by the SFA, Ofqual and the awarding body as well as for your own management reporting which means that you don't have to worry next time you are audited because everything you need is available at your fingertips through the e-portfolio.
